Make data responsibilities clear from the start.

A hotel engagement programme depends on guest information, connected channels and the people allowed to use them. We include those requirements in the implementation discussion so your property can review the scope before launch.

Agree what data is needed

Identify the guest contact information and booking context required for each workflow. Define the permitted use, source of consent and any retention or deletion requirements with your property’s responsible teams. Avoid importing data that the agreed programme does not need.

Review users and integrations

Agree which departments need access, who approves campaign content, and how responsibilities change when staff move roles. Confirm the connected systems, available permissions and source of truth for bookings before enabling automated actions.

Ask for the documentation your review requires

For vendor assessment, discuss the hosting locations, subprocessors, applicable contractual terms, incident handling and supporting provider documentation for your proposed configuration. Certifications held by an infrastructure provider should be assessed for their relevant scope; they should not be assumed to certify every Total Engage service.
